Updating Pro2 Mobile Numbers into Tessitura

When a contact provides a mobile number to opt into SMS outside of Tessitura, such as through a Prospect2 form, CSV import, or Manual updates, You can use the process outlined below to ensure the number is added or updated within existing Constituent records in Tessitura.

Once a number is added or updated in the Default Phone Number Field in Prospect2, you have the ability to set up an automation that will update the number across constituent records that have ownership (as the primary email address) in Tessitura.

This process is achieved through an Automation and a Webhook Action.

Automation Set Up

The Trigger

In this example, you would use the Field Changes Trigger.

Once the Field Changes Trigger is selected, within the Field drop down, select Contact Field and Phone Number. You’ll want to ensure you’re selecting the correct default Phone Number field and not a custom contact field that you may have manually created. Since this is a default (system) field, it will reside towards the top of the Contact Details category in segmentation.

The options for From and To can be defined with Any Value.

You can define the trigger to run Every Time or only the First Time the Phone Number field is: Added or Updated, Added (for the first time), or (only) Updated. If you’re including a SMS Sign Up option within your forms, it’s recommended to have the automation run Everytime the Phone Number field is Added or Updated. This way, if a contact changes their Mobile Number via a Prospect2 form, the new number will be updated in Tessitura as well.

Automation Action

You’ll need to add a Webhook Action within the Automation. The Webhook Action is located under Conditions and Workflows. In order to obtain the appropriate webhook URL for your account, please contact help@prospect2.com.

Once the Webhook Action is added with the appropriate URL, you can End the Automation. If desired, you can include additional actions such as sending a campaign, adding a tag, and more.

When the automation is Active and a contact has a number Added or Updated in the Default Phone Number Field in Pro2, they will enter the Automation. Then, when they reach the Webhook Action, Pro2 will trigger the update into Tessitura, look to see if the email address that had the change is listed as a Primary Email Address within a constituent record in Tessitura. If there is a match, the P2SMS number will be updated.

Pro2 will trigger the Webhook back into Tessitura and if the email/contact that submitted the change is listed as a Primary Email Address within a constituent record, the number will be updated in Tessi (and would be associated with the integrated Phone Type that you defined in T_DEFAULTS > P2SMSPhoneType).

• With the above Automation Example, the first time a number is added to the Default Phone Number Field the contact will enter the automation, even if the number already exists in Tessitura and was just applied to the contact record via an Integrated Import.

• If the contact is included in a future import, as long as the number has not changed in Tessitura, they will not re-enter the automation.

• If the number is updated, the contact would then re-enter the automation.
