Tessitura Integrated Import
A Tessitura Integrated Import transfers contacts—and the common data fields associated with those contacts—from a Tessitura List Manager list into Prospect2. You can use a Tessitura Integrated Import to add tags to contacts and create segments of specific patrons for targeted marketing.
An Integrated Import can also import contacts from a List Manager list into existing Prospect2 lists. This secondary function updates one or more of your lists with new contacts from Tessitura that are not currently subscribed to the selected Prospect2 lists, while respecting any existing unsubscribe preferences.
Before you begin an Integrated Import:
• Ensure the Prospect2 radio button is selected on your Tessitura List Manager list, allowing the list to display in the Integrated Import drop-down in Prospect2
• If you are using an extraction, save it as a List Manager list and click the Prospect2 radio button
• Do not use special characters (like & / \ * ' ") and others when naming List Manager lists
Getting Started
Click the Import option within the right hand navigation in your Tessitura Integration dashboard.
Select a Tessitura List Manager List
Ensure that the "Prospect2" radio button is selected for the List Manager list in Tessitura to allow the list to be visible on the Prospect2 Integrated Import form. You can filter the results displayed by using the search field. An approximate number of constituent records that are included in the List Manager list will display next to each list. This number is strictly a reflection of the number of constituent records that are included within the List Manager list and is not a reflection of how many email addresses may or may not be carried over in your import. If your List Manager list has an Output Set defined, the name of the output set will also display next to the list.
Add Tag(s) to Contacts
Select existing tags from Prospect2 or create a new tag that will be added to your imported contacts. A minimum of one tag must be applied. Tags are the sole identifier for contacts included in an import, so record which tags you have applied. Once the Integrated Import has completed, you can filter, segment, or create automation actions based on the tag that was applied during your import.
Add Contacts to Existing Prospect2 Lists (Optional)
This optional step allows you to subscribe contacts to one or multiple lists. This will not resubscribe contacts who may already be unsubscribed from the selected lists. This option should not be used as your primary method for opting patrons into your Prospect2 lists. Choose Prospect2 Processing Options (Optional)
Trigger Webhooks:
Selecting this option will trigger webhooks that will update integrated Contact Point Purposes on email addresses in Tessitura when the job is processed. It is recommended to only check this box when List or Tag CPPs involved need to be updated in Tessitura, as the Import will take longer to process when this is checked.
Trigger Automations:
When a contact is imported, Prospect2 can check to see if any of the updates to contacts from the [Import/Data Sync] qualify them for Automation Triggers. For accounts with lots of Automations, this can delay processing times if nothing during this Import should qualify contacts for an Automation. If no Automations should be triggered through this process, unchecking this box will allow the Import to process faster.
Filter Addresses by Other Tessitura Criteria (Optional)
Applying one or a combination of optional filters further defines contacts that will be returned from Tessitura. You can filter email addresses returned from the List Manager list by specifying Email Address CPPs, Tessitura Eaddress type and/or email addresses marked with the Primary Indicator in Tessitura.
Checking the Ignore Contact Permissions Status box will enable the Import process to bring all relevant contact data for all List Manager constituents into Prospect2, regardless of current Contact Permissions status. This option is only available in accounts that are integrated with Prospect2 and Tessitura's Contact Permissions.
Contact Point Purpose (CPP) filtering:
Selecting one or multiple CPPs will exclusively return email addresses that include any of the selected CPPs. Only CPPs that are assigned the Email Address Contact Point Category (defined in TX_CONTACT_POINT_CATEGORY_PURPOSE in Tessitura) will be available for filtering. All other Contact Point Category types will not display.
Ignore Contact Permission Status:
Selecting this option will allow Constituents with a NO or N/A Permission Status to be imported. Be aware that associating an existing Prospect2 list with this import could result in the Contact Permission status being updated for any/all constituents with ownership of the resulting imported email addresses. Use with caution!
Add Email Addresses to Receive Notifications About This Import
Enter email addresses for contacts within your organization that should receive notifications that will include the results of your import when your import is completed.
Preview Data
Prior to your import, you can preview email addresses and additional data (including defined output set data) that will be returned from your List Manager list on the Integrated Import form. You can filter these results in Step 5 by defining CPPs, a specific Eaddress Type, and/or selecting Primary only.
List Manager lists greater than 1,000 constituent records:
If your List Manager list contains more than 1,000 constituent records, we will only display the first 1,000 email addresses returned from Tessitura in the review. Additionally, you can filter your preview by entering specific Constituent ID numbers.
List Manager lists under 1,000 constituent records:
List Manager list under 1,000 Constituent records will display all returned email addresses in the review. You can filter results by using the search field on the Data Review page.
Show Email Counts
The Show Email Counts button allows you to see the number of email addresses that may be returned to Prospect2 prior to an Integrated Import. If you defined CPP filters in the import form, the count report will also display a break down of the total number of unique email addresses that match each of the CPPs that you defined.
COUNTS MAY VARY.
• Show Email Counts does not exclude duplicates, invalids, hard bounced, or email addresses that may already be unsubscribed in Prospect2.
• If you filtered with multiple CPPs and a single email address has each of the defined CPPs on their Eaddress in Tessitura, the email address will be uniquely counted next to each CPP listed in the count report.
Import Tagged Contacts
Once you've began to process an import, you can monitor its progress on the Console page under the What's Happening Now? section.
The user who initiated the import will have a small window to cancel. Cancel functionality will only display while the import is in a Pending status and will be disabled once the import progresses into a Queued status. Most imports will progress into a Queued status approximately 60 seconds after the import has been initiated.
Imports that have processed in the last 2 minutes will display within the What's Happening Now? section on the Console page; Previously completed imports will temporarily display in the Recent Activity section on the Console page. Additional details about your import, such as criteria used, which user initiated the import, total contacts processed, and any error results/reasons will be accessible in the Activity Log for up to 30 days.
